How do I calculate hours from a time card?
Subtract the start time from the end time, then subtract break duration. For a shift from 8:00 AM to 5:00 PM with a 30-minute lunch: 9 hours - 0.5 hours = 8.5 hours worked. Convert minutes to decimals for payroll (30 min = 0.5 hours).
Should breaks be deducted from work hours?
Unpaid breaks (typically meal breaks of 30+ minutes) should be deducted. Short rest breaks (5-20 minutes) are generally paid and should not be deducted. Federal law does not require breaks, but many states mandate meal breaks for shifts over 5-6 hours.
How do I handle overnight shifts on a time card?
If an employee clocks in at 10 PM and out at 6 AM, the end time is technically the next day. Most payroll systems handle this automatically. For manual calculation, add 24 hours to the end time if it is less than the start time.
